Senior Administrative Support Specialist

DEPLOYMENT: ASIAWIDE LAND OFFICE, Hermosa, Bataan

Responsible for providing the Company President and/or Chief Executive Officer, and/or other assigned leadership staff with high-level administrative support and assistance that includes, but is not limited to, scheduling, organization, and office tasks in support of the organization’s strategic and operational plans.

Minimum Qualifications

- Bachelor's degree in business administration or other relevant fields.

- At least three (3) years of relevant executive assistant experience.

- Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.

- Ability to anticipate needs.

- Effective planning and time management skills with proven ability to set and work to (personal and team) deadlines.

- Excellent verbal and written communication skills, both in English and Filipino and with a high degree of diplomacy.

- Familiarity with basic research methods and reporting techniques.

- Superior attention to detail.

- Ability to function well in a high-paced and at times stressful environment.

- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

- Able to type a minimum of 50 words per minute.

- Excellent interpersonal skills.

- Ability to keep the information confidential.

- Personal and professional credibility; and

- Extremely proficient with Microsoft Office Suite or similar software, and "back-office" software such as, but not limited to, ERP.


Job Position Descriptions:

1. Maintain executive’s agenda and schedules and assist in planning appointments, board meetings, conferences etc.
        1.1 Manage communication and scheduling activities for executive, ensuring effective time management and prioritization of schedule using appropriate judgment to adjust as necessary.
2. Attend meetings and keep minutes.
3. Prepare agendas for meetings with staff or clients, including outlining topics to be discussed, arranging speakers, and sending invitations to participants.
4. Greet visitors, receive and screen phone calls and redirect them when appropriate.
5. Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.).
6. Draft reports and correspondence based on the executive’s direction.
6.1 Prepare reports, memos, letters, presentations and other documents.
7. Coordinate and make travel arrangements for executives.
8. Handle confidential documents ensuring they remain secure.
9. Prepare invoices or financial statements and provide assistance in bookkeeping.
10. Request and monitor office supplies.
11. Maintain electronic and paper records ensuring information is organized and easily accessible.
12. Conduct research and prepare presentations or reports as assigned; and
13. Perform other related duties as assigned.
